Personal Assistant to the CEO
The operational backbone of a fast-moving CEO. If you thrive on variety, take pride in being three steps ahead, and find deep satisfaction in making complex things run smoothly — this role is for you.
Not a typical role. Not a typical company.
Lima Xi is a founder-led AI company building the intelligence infrastructure layer of global trade. The CEO moves fast, thinks across multiple domains simultaneously, and needs a trusted right hand who can match that pace with precision and calm.
This is Employee #002 — one of the first hires beyond the founding team. That means no bureaucracy, genuine trust from day one, and direct exposure to how a global business is built. It also means we are looking for someone exceptional: not just organised, but perceptive; not just professional, but proactive.
You will be trusted with sensitive information, critical tasks and high-level coordination across multiple projects.
Company leadership
The mandate
01Executive support
- Own the CEO's calendar, priorities and time across multiple time zones
- Prepare meeting notes, follow-ups and structured briefing materials
- Draft and refine communications for internal and external stakeholders
- Manage sensitive information with absolute discretion at all times
02Travel & logistics
- Plan complex, multi-leg travel — flights, hotels, visas, itineraries
- Handle last-minute changes smoothly and without fuss
- Coordinate logistics across Hong Kong, Hong Kong and other destinations
03Presentations & design
- Build clean, executive-quality decks in PowerPoint and Canva
- Turn rough ideas into visually compelling narratives
- Polish layouts, typography and visual flow to a high standard
04Operations & automation
- Maintain documents, files and expense records
- Conduct research and vendor comparisons
- Identify inefficiencies and build automations using Make.com and Zapier to save time across the business
What we're looking for
Essential
- Fluent Mandarin, native or near-native — the primary working language
- Strong written and spoken English
- Highly organised with sharp attention to detail
- Discreet, emotionally intelligent and calm under pressure
- Proactive — you anticipate needs rather than simply respond to them
- Confident communicator, professional in all contexts
Presentation & design skills
- Strong PowerPoint — executive-level slides, not templates
- Canva proficiency required
- An eye for design: layout, typography, visual storytelling
- Bonus: Photoshop, Illustrator or similar
- Detail obsessed — nothing escapes your eye
Valuable experience
- Supporting a senior executive or founder
- Hospitality, aviation or luxury service background
- Complex travel planning and itinerary management
- Building automations with Make.com, Zapier or similar — strongly preferred
- Working across global teams or diverse cultures
A genuine plus
- Cantonese or Thai — a distinct advantage given our regional footprint
- Korean or Japanese — additional Asian languages warmly welcomed
- Familiarity with AI tools and how to use them productively
- An interest in business, startups or entrepreneurship
Real access. Real growth.
You will work directly with the founder, not filtered through layers of management. The exposure is real: international business, logistics, technology, and a front-row seat to how ventures are built and operated across markets.
- Employee #002 — genuine trust and responsibility from day one
- Direct exposure to how a global business is built, across multiple domains
- Remote-friendly working with flexible work-from-home arrangements
- A role that grows as the company does — scope expands with capability
- International travel coordination across Hong Kong, Hong Kong and beyond
- Competitive compensation for the Hong Kong market
Before you apply
Is Mandarin genuinely required?
Yes. Mandarin at native or near-native level is the primary working language for this role, alongside strong English. Cantonese, Thai, Korean or Japanese are welcome additions.
How much of this role is design work?
A meaningful portion. Building executive-quality decks in PowerPoint and Canva is a core responsibility, not an occasional extra. If you do not enjoy visual work, this is not the right fit.
Why does an assistant role mention automation?
Because we would rather you build a workflow once than repeat a task fifty times. Familiarity with Make.com or Zapier is strongly preferred and genuinely changes what the role can cover.
